    When you use Reporza, we collect the following types of information:

    • Account Information: Your name, email address, company name, and password when you register for an account.
    • Newsletter Information: Your email address, signup source, and confirmation or unsubscribe status when you choose to join the Reporza email list. We use a double opt-in confirmation before activating a subscription.
    • Project Data: Projects, daily reports, issue reports, contacts, and other content you create within the Service.
    • Photos & Files: Images, plan documents, and other files you upload to your projects.
    • Usage Analytics: Privacy-safe information about how you interact with the Service and public website, such as pages visited, resource actions, and general usage patterns. We do not send article text, form contents, email addresses, or names in these events. Analytics is configured without session recording and uses masked text where supported.

    2. How We Use Your Data

    We use the information we collect for the following purposes:

    • Provide the Service: To operate Reporza, deliver features, and enable you to create reports, track issues, and manage your projects.
    • Improve the Product: To understand usage patterns, identify bugs, and develop new features that make the Service more useful for installation and field teams.
    • Customer Support: To respond to your questions, troubleshoot issues, and provide technical assistance.
    • Billing: To process payments, manage subscriptions, and send invoices and receipts.
    • Newsletter: To confirm your request and send occasional Reporza articles, printable resources, and field-documentation guidance. You can unsubscribe at any time using the link provided in our emails.

    3. Data Storage

    Your data is hosted on secure cloud infrastructure with industry-standard security measures. All data transmitted between your device and our servers is encrypted in transit using TLS (Transport Layer Security). We implement access controls, monitoring, and regular security reviews to protect your information.

    4. Data Sharing

    We do not sell your personal information or project data to third parties. We only share data with trusted service providers who are necessary for operating the Service, such as:

    • Payment Processing: Stripe processes subscription payments on our behalf. They receive only the billing information necessary to complete transactions.
    • Email Delivery: We use email service providers to send transactional emails such as account confirmations, password resets, report notifications, newsletter confirmations, and newsletters you have requested.
    • Cloud Hosting: Our infrastructure providers host and serve the application and your data.
    • Analytics: We use PostHog to understand aggregate product and public-site usage. It receives limited event information, such as an article slug or sharing method, rather than the contents of your reports or newsletter forms.

    These providers are contractually obligated to protect your data and use it only for the services they provide to us.

    5. Cookies

    Reporza uses cookies for the following purposes:

    • Session Cookies: Required for authentication and keeping you logged in while you use the Service. These are essential and cannot be disabled.
    • Analytics Cookies: Optional cookies that help us understand how the Service is used. You can opt out of analytics cookies through your browser settings without affecting your ability to use Reporza.

    6. Data Retention

    For active accounts with an active subscription, your data is retained indefinitely for as long as your subscription remains active. If your account is canceled or your trial expires, your data remains accessible in read-only mode for 30 days. After that period, data is soft-deleted and eventually permanently purged.     Pending newsletter subscriptions expire if they are not confirmed. We retain active newsletter subscription records until you unsubscribe or request deletion, and retain the minimum status information needed to honor an unsubscribe request.

    7. Your Rights

    You have the right to:

    • Access: View all the data associated with your account at any time through the Service.
    • Export: Download your projects, reports, photos, and other data in standard formats.
    • Delete: Request deletion of your account and all associated data by contacting us at support@reporza.com. We will process deletion requests promptly.

    8. Children's Privacy

    Reporza is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a person under 18, we will take steps to delete that information promptly.

    9. Changes to This Policy

    We may update this Privacy Policy from time to time. For material changes, we will provide at least 30 days' notice via email or a prominent notice within the Service. Your continued use of Reporza after the updated policy takes effect constitutes your acceptance of the changes.
